It’s easy to fall in love with a venue at first sight, but what about the details you don’t think to ask about? Beyond the picture-perfect backdrops, there are some important questions couples often overlook during a venue tour. Whether you’re touring Mac-O-Chee Castle or another venue, here are some of the less common questions we recommend asking to better understand if a venue truly fits your vision, expectations, and needs.
-
Does your venue provide linens? Do you provide napkins?
Some do, and some don’t, so it never hurts to clarify. Don’t let your napkins get lost because you assumed the venue was providing them! If they do provide these things, what color options are there?
-
What happens if the weather is bad? What’s Plan B? Is there an additional fee for a flip?
Many venues have a separate ceremony space for indoor weddings, and others flip their reception hall. Understanding what your space will look like if the ceremony has to be moved indoors will help you feel better prepared in the event of bad weather!
-
Can I drape fabric/material from the walls or ceiling?
Different venues have different rules–for good reason. An 8 foot ceiling is much easier to reach than a 25 foot one! If this isn’t an option, ask what other decoration alternatives there are.
-
Is the venue flexible for different guest counts?
Some spaces have a max capacity for 300 guests, but also feel empty when you only have 100. Knowing if your venue still feels full, structured, and spaced out depending on your headcount can be a huge factor in deciding where to book!
-
Do you have a noise policy/restrictions?
When the party gets going, it’s helpful to know expectations for your DJ and sound. If there are limitations or restrictions, how can you plan your music, dance floor, and final exit around them?
-
Is your site accessible for people with disabilities/elderly guests?
Hills, gravel, and difficult landscaping can make things very challenging for any handicapped guests, or even elderly guests. If the venue you’re touring has uneven grounds, understanding the plan for those special guests is essential.
-
Where should we tell our vendors they can park/unload their equipment?
A mile walk isn’t ideal for anyone, but it’s especially unideal for vendors who have to carry bulk materials and heavy equipment. Knowing if they have a dedicated parking and drop-off area can make the day that much easier.
-
What happens if our guests count increases or decreases in the weeks before the wedding?
Things change! Some guests nail the RSVP-by date and others don’t (Don’t be that guest!) However, knowing the expectations if numbers do change slightly will help take that weight off your shoulders. Make sure to understand if and what any additional charges might look like.
-
If cell service isn’t reliable, does the property have WiFi? Can guests use it?
Not all venues have great cell service. Rather than expecting guests to step outside and hold their phones to the sky, make sure to ask if WiFi will be available. If you aren’t given the password, who can guests go to in order to get that information?
-
Can we bring in specialty rentals, such as lounge furniture, a vintage car, or a custom backdrop?
Fun details like these can elevate weddings dramatically! However, if there are strict rules surrounding rentals, it can have a big impact on what venue you decide to book. If lounging couches are an essential rental for you but aren’t allowed at your ideal venue, it might be a sign!
-
What accommodations are available for nursing mothers or guests with young children?
Not everyone chooses to have young ones present for their big day–and that’s okay! But for those who do, it’s courteous to be considerate of where those moms and kids might be able to step away, change diapers, and store their extra items.
-
What happens if we forget something important at the venue after the wedding?
Following a busy wedding day, items get left behind all the time! Understanding how a venue will make you aware of these leftover items, where they’re kept, and what pickup looks like can provide you with a huge sense of relief.
-
Are there any seasonal changes that could affect the appearance or availability of certain spaces or features of your venue?
A wedding venue that experiences all four seasons is going to flow differently than one that doesn’t. During the winter, some features or areas might be closed off or shut down. Make sure you know what applies to your venue during the season you’re getting married.
-
Is there a designated place to put empty boxes, packaging, and containers so that we can use them again during cleanup?
When all of the decor, florals, signage, and candles are put into place, the boxes they were in must be put somewhere accessible so that they can be used at the end of the night to pack things up. Better understand where this location is for you so necessary storage items don’t get thrown away.
-
Can we incorporate a unity ceremony, communion, or other meaningful tradition?
Different couples have different ideas of what their day is going to look like, especially during ceremonies. Make sure to ask if your vision is accepted, and if the table(s), supplies, and assistance will be provided.
